The Document Management system allows administrators to upload, organize, and track document submissions from clients and partners. This section covers all document management features available in the portal.
How to View Document Submissions
Step 1: Access Submissions
- Navigate to Documents → Manage Documents
- Locate the document you want to review
- Click the "View Submissions" button in the Submissions column
Step 2: Review Submission Statistics
The system displays:
- Total Submissions: Total number of submissions received
- Total Approved: Number of approved submissions
- Total Rejected: Number of rejected submissions
- Total Pending: Submissions awaiting review
User Information Display
For each assigned user, you can see:
INFO: User details indicator (+)
NAME: User's display name
EMAIL: Contact email address
SUBMISSION: Whether user has submitted (Yes/No)
VIEW: Download button (↓) to review submitted documents
STATUS: Current approval status (Pending Approval/Approved/Rejected)
ACTION: Approve or Reject buttons
Step-3: Approval Process
In the Assigned Users interface, you can:
Switch between Client and Partner tabs to see different user types
Approving Submissions:
- In the View Submissions (Assigned Users) modal, review submitted documents
- Click the download button (↓) in the VIEW column to review submitted documents
- Verify document completeness and accuracy
- Click "Approve" button in the ACTION column to accept the submission
- System automatically updates status and notifies user
Rejecting Submissions:
- In the View Submissions (Assigned Users) modal, review submitted documents
- Click the download button (↓) to review the submitted document
- Click "Reject" button in the ACTION column to deny the submission
- User will be notified to resubmit with corrections
Monitoring Status:
Pending Approval (Yellow): Submission awaiting admin review
Approved (Green): Document has been accepted
Rejected (Red): Document needs revision and resubmission
Updating User Assignments
Step 1: Access User Assignment Update
In the Documents list, click "Assigned Users" button in the FOR column
This opens the Update Document interface
Step 2: Understanding the Update Interface
The Update Document modal allows you to:
- Modify document title
- Change document group (Sales Documents, etc.)
- Update submission settings (Allow document submission: Yes/No)
- Update Client/Partner assignments
Step 3: Modifying User Assignments
- Switch between Client and Partner tabs
- Use "Select all Clients" checkbox to assign to all clients at once
- Use the dropdown menu to Select specific users
- Choose individual clients or partners from the dropdown list
Step 4: Save Assignment Changes
- Review your assignment selections
- Click "Submit" to save the updated assignments
- Users will be notified of their new document access

Accessing Document Actions
Step 1: Locate Actions Menu
- In the Documents list, find the ACTIONS column
- Click the three dots (⋯) menu for any document
Step 2: Available Actions
The dropdown menu provides:
- Delete Documents: Remove documents from the system
- Update Documents: Modify existing document information
Delete Documents
How to Delete a Document:
- Click the three dots (⋯) in the Actions column
- Select "Delete Documents" from the dropdown
- Confirm deletion when prompted
- Document will be permanently removed from the system
Important Notes:
- Deletion is permanent and cannot be undone
- Consider archiving instead of deleting for audit purposes
- Ensure no active submissions are pending before deletion
Update Documents
How to Update a Document:
- Click the three dots (⋯) in the Actions column
- Select "Update Documents" from the dropdown
- Modify document details in the edit form:
- Document title
- Document group assignment
- User assignment settings
- Submission requirements
4. Save changes by selecting 'Submit' tab to update the document
Updatable Fields:
- Document title and description
- Assigned user groups (Client/Partner)
- Document group categorization
- Submission settings (required/optional)
- File replacement (if needed)
