What is the Documents Module?
In General Terms:
Documents refer to organized files and records that contain important business information, agreements, marketing materials, or reference content. A document management system enables businesses to store, organize, share, and control access to these files centrally, ensuring everyone has the right information at the right time.
In the OBS (OnBoardSoft) Portal:
Documents is a centralized repository that stores, organizes, and distributes all portal-related files—from marketing collateral and product sheets to signed agreements and compliance records. It ensures partners and clients have instant access to the resources they need while maintaining version control and secure document management.
Upload & Management (Admin):
- Upload multiple file types (PDF, images, documents, spreadsheets)
- Set version control for updated documents
- Configure access permissions by user role
- Add descriptions and metadata for searchability
- Track download history and document usage
User Access Overview:
- Admins: Upload, organize, delete, and manage all documents; set permissions; track usage and downloads; maintain version control
- Partners: Access marketing collateral, product materials, training guides; view their signed agreements; download sales resources
- Clients: View their specific agreements, invoices, and order documents; access product information; download receipts and contracts
The Value of Centralized Documents:
The Documents module eliminates scattered files across emails, hard drives, and cloud services by centralizing everything in one secure location. Partners always have access to current marketing materials without requesting them, clients can retrieve their agreements instantly, and admins maintain complete control over what's shared and with whom. It reduces repetitive requests, ensures brand consistency, and creates a professional experience—transforming document chaos into organized, accessible resources that accelerate sales and improve collaboration.
