Accessing the Sales Order Section
Login to Admin portal ,Navigate to Sales → Sale Orders
You'll see the main sales order dashboard .
The main dashboard shows : Order #, Quote #, RFQ #, Title, Client, Agent, Date Created, Payment Status (paid/unpaid), STATUS(completed/pending/canceled), ACTIONS(view/edit), Add new sales order tab, Search sales order against client.
Creating a New Sales Order
Step 1: Initiate New Order
i) Click the "Add New" button in the top right corner
ii) Pop up will appear to select client to send sales order
iii) A new order creation page will open
The system will automatically populate the details provided in settings:
- ORDER NO (automatically generated)
- ISSUE DATE (current date)
- DUE DATE (based on payment terms)
- FROM (your company name)
- COMPANY (client company)
- TERMS OF PAYMENT(Quotation settings)
- CURRENCY(Quotation settings)
- CONTACT PERSON(Quotation settings)
- EMAIL(Quotation settings)
Step-2: Adding Order Lines
i) Navigate to the "Order Lines" tab
ii) You have three options to add items:
- "Add a product": Select from existing product catalog
- "Add a section": Create a new section for grouping items
- "Add a custom product": Create a one-time custom item
For each line item, fill in:
- Product/Service (select from dropdown)
- QTY (quantity)
- UNIT
- PRICE($)
- The TOTAL($) will calculate automatically
Step-3: Additional Charges
You can add:
- Discount (click "Add discount")
Fill the Discount details and click ‘Apply’ tab.
- Shipping/delivery charges (click "Add shipping or delivery")
Fill the shipping details and select ‘Apply’.
- Tax will be calculated automatically (shown as "Estimated tax")
Fill the Tax details (if applied)
Step-4: Grand Total Calculation Flow
To get the grand total this order is been followed:
1-Subtotal (Sum of line items)
2-Discount Application
- If Percentage: Subtotal × (Discount%)
- If Amount: Subtract fixed value
3-Add Shipping/Delivery
4-Tax Calculation
- If Percentage: (Subtotal - Discount + Shipping) × Tax%
- If Amount: Add fixed tax amount
5-Grand Total = Subtotal - Discount + Shipping + Tax
Step-5: Other Info Tab
i) Order Title (automatically formatted as "Order - [number]")
ii) Notes section with rich text editor including:
- Text formatting (Bold, Italic, Underline)
- Lists (bulleted and numbered)
- Tables and links
- File attachments
- Images
iii) Terms of Service section for:
- License agreements
- Payment terms
- Service conditions
- Support details
Step-6: Payments Tab
i) Payment Status Selection:
- Dropdown to mark as Paid/No
ii) Payment Details section with:
- Rich text editor for payment instructions
- Banking information
- Payment terms
- Special payment conditions
- Payment tracking notes
Step-7: Final Steps
Before submission, choose:
i) Notify Client option:
- Toggle checkbox to send automatic notification
- "It will be used with 'Create Order' button"
ii) Action buttons:
- "Back": Return to previous screen
- "Save as draft": Save for later completion
- "Create Order": Finalize and submit
Success message will appear with 'create order' command.
